Job Description Summary
The Administrative Assistant provides clerical, organizational, and operational support to ensure efficient day-to-day office operations. This position performs a variety of administrative tasks, including scheduling, document preparation, recordkeeping, communication support, and office coordination.Job Description
- Provide general administrative support to managers, teams, or departments
- Answer phone calls, screen and direct inquiries, and respond to routine correspondence
- Schedule meetings, appointments, and conference rooms
- Prepare, format, and distribute reports, letters, memos, and other documents
- Enter, update, and verify data with a high degree of accuracy, i.e. timesheets
- Assist with travel arrangements, expense reports, and calendars
- Order and maintain office supplies and support vendor coordination
- Greet visitors and help manage front office or reception activities as needed
- Support internal communication and coordination across departments
- Help track deadlines, projects, and administrative workflows
- Assist with special projects and other duties as assigned
Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree preferred
- Previous administrative, clerical, or office support experience preferred
- Strong proficiency in Microsoft Office Suite or similar business software
- Excellent organizational, time management, and multitasking skills
- Strong written and verbal communication skills
- High attention to detail and accuracy
- Ability to handle confidential information professionally
- Ability to work independently and collaboratively in a team environment
Knowledge, Skills, and Abilities
- Knowledge of general office procedures and administrative practices
- Ability to prioritize tasks and meet deadlines
- Strong customer service and interpersonal skills
- Basic problem-solving and decision-making ability
- Comfortable learning new systems and processes
Physical Requirements
- Prolonged periods of sitting and working at a computer
- May occasionally lift office materials or supplies up to a specified weight
- Ability to perform routine office tasks such as filing, copying, and scanning
