Job Description Summary

Responsible for supporting the coordination of resources and logistics required to perform service and maintenance activities at customer sites across APAC. Assist in the timely deployment of Field Service Engineers according to customer requirements. Provide support to the Service Commissioning Manager in planning and scheduling resource needs, while helping guide dispatch processes and ensuring compliance with company standards. Work closely with Project Manager/Service Account Manager/Sales teams to align resource allocation with business priorities. This role requires strong organizational skills, clear communication, and a proactive attitude to learn and grow in a dynamic environment.

Job Description

Roles and Responsibilities

  • Coordinate and allocate resources to requested cases based on work orders.
  • Initiate the MOB tool and coordinate visa applications.
  • Support document preparation, report and track of visa/work permit processes and validity.
  • Arrange international logistics and share travel updates with teams.
  • Support dispatch process improvements and ensure smooth execution.
  • Monitor team utilization and assist the Service Commissioning Manager in assigning jobs effectively.
  • Collaborate with peers across regions to address resource gaps and optimize utilization.
  • Ensure Field Service Engineers comply with EHS standards, company policies, and PPE requirements.
  • Manage and protect Field Service Engineers’ personal data in compliance with company policies and data protection regulations.
  • Support training initiatives and help develop team competencies through knowledge sharing.
  • Track and ensure timely submission of Field Service Engineers’ timesheets, expenses, and reports.
  • Support HR in preparing the monthly payroll data report.

Required Qualifications

  • Bachelor’s degree in business administration, HR, or related field.
  • Experience in resource coordination, travel management, or HR support.
  • Strong organizational and communication skills.
  • Proficiency in MS Office and relevant management tools.
  • Demonstrates strong interpersonal skills and excels in collaborative, team-oriented work environments.
  • Fluent in English (spoken and written) to coordinate international travel, visa processes, and cross-regional collaboration.
