Operations Specialist
Essential Responsibilities
- Provide reception services for the building including, but not limited to check in/out and screen visitors in accordance with associated procedures, greeting guests, answering main phone line, accepting/mailing packages
- Comply with ITAR regulations when it comes to non-US citizens.
- Perform wide variety of administrative support activities, which require the handling of business-sensitive and confidential information
- Develop presentations, agendas, correspondence and memoranda for a variety of internal and external executive populations and create executive level charts, reports, and correspondence using the Microsoft toolkit
- Responsible for the establishment of meeting and agenda priorities, travel schedules and staff meetings within a very dynamic and ever-changing environment
- Supervise purchase of office administrative supplies
- Responsible for creating and providing administrative procedures
- Act a primary point of contact for 3rd party services that support the front office operations
- Coordinate and manage schedule of events/meetings/training/etc for the front office operations
- Ensure conference rooms, kitchenette and break rooms stocked and tidy
- Support prevailing wage requirements
Qualifications/Requirements
- Bachelor’s degree from an accredited university or college (or a high school diploma/GED with at least 2 years of experience in an administrative role)
- High level of proficiency in Word, Excel, PowerPoint and Outlook

- Previous experience interfacing with all levels of the organization, including executives
- Ability to handle confidential and sensitive material and critical assignments in a professional, discrete manner
- Able to adapt to ever changing priorities
- Strong organizational, time management and prioritization skills
- Ability to prepare business letters, proposals, summaries, and reports using prescribed format and conforming to all rules of punctuation, grammar, diction, and style using all parts of speech
- Ability to work independently with minimal direction
- Resourceful, proactive, assertive, detail oriented, energetic, with flexible attitude
- Ability to work well in team environment and to perform under pressure and against tight deadlines
- Ability to support multiple projects and balance conflicting needs
- Knowledge of GE processes and procedures is preferred
